COI tracking and insurance review for GCs
A certificate is not coverage. BuildRoutine collects COIs and endorsements from your subs, checks the whole packet against your project's requirements, and tells you what is missing before they start work.
Collect COIs from every sub
Request certificates and endorsements from your own email and keep them filed by vendor and by job.
Check the policy, not just the cert
Additional insured, primary and non-contributory, waiver of subrogation, limits and exclusions are checked against your requirements.
Never miss an expiration
Policy expiration dates land on the vendor, and an Expiring Insurance list shows what is coming up so you can request the renewal in time.
Your team makes the call
Every flag quotes the page it came from, and your team and insurance professionals make the final decision.
Why a certificate of insurance is not enough
A COI only says what the broker typed. It can list the right limits and still sit on top of a policy that excludes the work, carries a height or borough limitation, or never names you as additional insured for completed operations. You usually find out after a claim, when it is too late to fix.
The only way to know is to read the policy and the endorsements, and on a busy job nobody has time to read every sub's packet line by line.
How insurance review works in BuildRoutine
Set your requirements once per project: the limits you need for each coverage, and the endorsements your owner and lender ask for.
Upload a sub's certificate and policies. BuildRoutine reads the whole packet, endorsements included, and checks it against those requirements:
- Limits checked against your minimums. A $2M excess on a $5M requirement gets flagged as a coverage problem.
- Additional insured for ongoing and completed operations, waiver of subrogation, and primary and non-contributory wording.
- Exclusions that hurt New York GCs, such as New York Labor Law exclusions, exclusions for injuries to subcontractors' workers, and height or borough limitations.
- The carrier's A.M. Best rating, looked up online instead of taken from the certificate.
Every finding quotes the page it came from. Send the whole list to the broker in one email, track the fixes, and approve or reject the sub when the paperwork is right.
Why it matters more in New York
New York's Labor Law puts unusual liability on owners and general contractors for gravity-related injuries on a job site. That is why owners and lenders in New York ask for strong additional insured wording, and why an exclusion for injuries to a subcontractor's own employees, or a height limitation on a roofer's policy, can leave the GC carrying a loss that should have been insured.
Catching those issues before the sub mobilizes is the difference between a quick call to the broker and a fight after the fact.
Tracking, not just reviewing
Each vendor keeps its certificate, endorsements, contract and agreements on its record and on the project. Expiration dates roll up into one list across your jobs, so renewals get requested before a sub's coverage lapses mid-project.
Questions
What is COI tracking?
COI tracking is collecting each subcontractor's certificate of insurance, checking it against your requirements, and following up before policies expire so no one works on your job uninsured.
Does BuildRoutine replace my broker?
No. It reads the paperwork and flags what looks wrong. Your team and your insurance professionals make the decisions.
Does it read endorsements, not just the ACORD form?
Yes. Upload the policies and endorsements with the certificate and they are reviewed together.
Can I set different requirements per project?
Yes. Requirements are set per project, so a large ground-up job and a small interior alteration can ask for different limits and endorsements.
